Program Questions

What are the dates of the program?
The incentive program begins on January 3 and ends on November 30.


How does the program work?
You complete a 15-minute online Health Assessment and then you choose which wellness activities to complete to earn your incentive. You may choose activities that are meaningful to your well-being. For every 140 points you earn, you will receive a taxable $140 incentive on your paycheck up to 560 points or $560. Incentives are paid within two pay periods of earning 140 points.


What are the program deadlines? 
November 30 is the deadline to complete wellness activities to earn points toward the $560 incentive. (If you choose to complete a Stanford Healthy Living app, the deadline to start the app is October 7.) 


Do I need to fully complete an activity to receive points?

Yes, you must fully complete the activity by November 30 to earn points.


What can I do for free to earn points? Is it difficult to earn incentives?

60+ free activities will be available throughout the year to help you focus on your well-being and easily earn your incentive. Please note that many of these activities will be available at different points in the year and for finite amounts of time. You will be able to complete the following free activities:

  • Rotating free, monthly activities that include wellness quizzes, viewing videos or reading passages about wellness topics, and completing daily wellness activities, such as standing up a certain number of times throughout the day
  • Quarterly wellness challenges, which include physical activity, nutrition and cognitive
  • BeWell Wellness Fair
  • BeWell Cardinal Walk
  • Stanford Recreation and Wellness offerings: fitness assessment, personal training, free virtual fitness classes
  • Blood donation
  • Community service
  • Bike to Work month
  • Annual well check-up
  • Biannual dental wellness check-up

 

I clicked on “join” but didn’t receive further instruction? What should I do next?
You can engage with the program by going to the ‘In Progress’ page and finding all activities that you have joined.


What is the best way to stay current with monthly activities?

Check back each month to see what is new. New cards are generally posted on the first of the month.


Where are the quizzes?

You can find the quizzes and other activities in the “Recommended” tab on your activities page. A new quiz is added every month.


Can I redo an activity card? 

You may complete most wellness activities for points once a year. However, there are some Stanford Healthy Living and Stanford Recreation and Wellness activities that you can complete multiple times and earn points up to the maximum on the card. This will be specified on the card where it says “You have logged 0 of #.” Once you complete a card, you may access the content and revisit all activities by going to the ‘Previous’ section to view all previously completed activities.


How can I view my progress/what else do I need to do? 

The rewards dashboard shows your earning progress and how much you need to earn to get to the next payout level. From the rewards dashboard, you can join additional programs to earn more points. Please note that if you’ve registered for a Stanford Healthy Living or Stanford Recreation and Wellness offering, you will not see the class you’re enrolled in listed in your BeWell account.


Upon completing the Health Assessment, why does it not show points earned?

Like the SHALA, the Health Assessment is the gateway activity to the program. You do not earn any points for completing the Health Assessment. However, completing the Health Assessment is required to unlock points from all other activities and receive any payout of your incentive. Be sure to complete your Health Assessment by the BeWell deadline of November 30 to unlock your points and receive your incentive payments.


How do I make an update to my Health Assessment? How can I upload my annual wellness check-up with my doctor?
Once you complete your Health Assessment, you can view or edit your results at any time. Go to the Previous tab on the activities page and click on the Health Assessment thumbnail, then click the button to View Results or Retake Assessment. There is no need to upload any information into the Health Assessment.


How do I sign up for the BeWell Check-in?

First, you must join the BeWell Check-in activity card. Then, within the activity card, click on ‘Register Now.’ You will be taken to the registration page where you can choose your Coach, select your date and time, and confirm your appointment.


How do I cancel/reschedule my BeWell Check-in appointment?
Scheduling, cancellation and rescheduling links are located in a participant’s appointment confirmation and reminder email(s). There’s a 24-hour cancellation policy and participants can cancel/reschedule through our appointment scheduling system. If you need to cancel your appointment within that 24-hour window, you would contact BeWell at bewell@stanford.edu and it would be considered a forfeit. 


How do I cancel/reschedule my Lifestyle Coaching appointment?

Scheduling, cancellation and rescheduling links are located in a participant’s appointment confirmation and reminder email(s). There’s a 24-hour cancellation policy and participants can cancel/reschedule through our appointment scheduling system. If you need to cancel your appointment within that 24-hour window, please notify your coach. That session would be considered a forfeit and may impact your ability to receive points. Email healthyliving@stanford.edu if you have any questions.


Can I increase the amount of time that I stay logged in? It keeps logging me out. 

This is not something you can change. The timeout is a necessary security feature to keep your personal health information secure.


Is there a mobile app? 

There is a mobile app, but Stanford recommends using your computer for a simpler login experience and higher level of security.


Is my data secure?

CafeWell provides the online platform for the BeWell Program. CafeWell’s security program meets the highest standards for managing security risks, protecting health information, and meets Stanford’s rigorous standards.

What is the maximum number of points I can earn through Healthy Living classes and webinars towards the incentive?
The maximum number of points you can earn through the Healthy Living activity cards toward incentives is 560. Below is a breakdown of points for each Healthy Living offering.

Points are listed on each activity card. All Healthy Living offerings are worth 25 points except for Engagement offerings (125 points). You can find and register for all the Healthy Living offerings by joining the activity card and then by clicking “Register Now” within the card.


I registered for many of the activities through the Healthy Living and Stanford Recreation and Wellness registration systems instead of the wellness platform activity cards. Will my points be recorded?

For Healthy Living and Stanford Recreation and Wellness offerings, points are automatically added once attendance has been uploaded to the system. You do not need to join the activity card to receive your points. It can take between two to six weeks after the completion of the activity for your points to be awarded. However, your points will remain locked until you sign in and complete the Health Assessment. Be sure to complete your Health Assessment by the BeWell deadline of November 30 to unlock your points and receive your incentive payments.


If I am unable to attend all live sessions of a Healthy Living Engagement class, will recordings be available and points still be given?

Healthy Living Engagement classes are interactive and include participant discussions. To protect participant privacy and create a safe space for sharing, our Engagement classes are not recorded. Attendance is required to receive points. Specific attendance requirements vary by class and are communicated in the class confirmation email.


Are Healthy Living classes with a date range weekly?

Classes with a date range are weekly unless specifically stated otherwise in the class description.


Which BeWell-eligible classes are free?

You can find free Healthy Living classes by going to the Healthy Living class search page and entering “free” in the keyword search.


What are STAP funds? Can I register for Healthy Living classes without STAP?

The Staff Training Assistance Program (STAP) provides reimbursement for tuition, registration fees and required textbooks for any training activity directly related to your job or a career development effort. Approved Stanford Healthy Living classes are also eligible for STAP. Regular or fixed-term employees working 50% time or greater are eligible for STAP. Faculty, students, temporary employees, retirees and other non-staff University affiliates are not eligible for STAP assistance. Find more information at Cardinal at Work’s STAP page. 

Registration for all Healthy Living offerings can be paid using STAP or with a credit card. If you are not eligible for STAP or do not have enough STAP to cover a class, simply complete your registration with a credit card.


Are postdocs and faculty eligible to take Healthy Living classes?

All Healthy Living offerings are available to postdocs and faculty.


Is there an overview of all the Healthy Living classes and how much they cost? Can I search by cost?

You can find a complete overview of all Healthy Living offerings for the current quarter in our downloadable class schedule, which includes class descriptions and fees. Also, class fees can be found on the registration page by clicking the “Expand All Records” button. There is currently no way to search or sort by cost or points.


Is there a way to see a list of all classes I signed up for within the new wellness platform?

Classes will only show up in the wellness platform once attendance has been uploaded and points have been awarded. The wellness platform does not track class or coaching registration or in-progress status. We recommend that you save the registration confirmation emails as a record of classes that are in progress.


Are all the Healthy Living apps still available? 

Healthy Living apps are still available. Go to the Healthy Living class search page and select “App” in the drop-down menu.


For a third-party app like Headspace, how is activity logged toward my goals?

Attendance for all apps, including Headspace, is automatically entered 10 weeks after registering. 


What is the Headspace benefit and how can I join it through Stanford University?

Headspace is an app that teaches the life-changing skills of meditation and mindfulness in just a few minutes a day. Healthy Living offers a STAP-eligible, discounted one-year subscription for $40. Register for the app.


How do I cancel my Healthy Living class?

Fitness Offerings

Is there a limit to points that I can earn through participating in fitness offerings?
You can earn a maximum of 250 points by participating in activities through Stanford Recreation and Wellness. Below is a breakdown of how to earn the 250 points.

How are points earned for Cardinal Pass?
By joining the Stanford Recreation and Wellness activity card, you can earn 20 points each academic quarter by participating in a minimum of eight group fitness classes with the Cardinal Pass, for a maximum of 80 points. Please allow up to four weeks after the end of the quarter for this activity to show as completed.


Is personal training available at Stanford Redwood City? What if I don’t feel comfortable going onsite for a fitness assessment (due to Covid)?

The virtual fitness class I attended turned out to be a recorded class from YouTube. Will I still get credit for taking it?

You will still be given credit for this virtual fitness registration toward the eight classes minimum.


When I tried to schedule a virtual fitness assessment, it scheduled a personal training session. Are they the same?

The offerings are not the same. Please contact facultystaffwellness@stanford.edu with any questions or issues.


As a BeWell participant, do I get a discount on fitness classes and group passes?
Stanford Recreation and Wellness offerings are available to all Stanford employees at the same price, regardless of BeWell participation.


Can I get points for a personal trainer?
You can only earn points through the free BeWell-eligible personal training with Stanford Recreation and Wellness.


How do I cancel/reschedule my personal training or fitness assessment appointment?

To cancel a personal training or fitness assessment appointment, please refer to the online instructions and manuals.

Past program offerings

Where can I find the Berries?
Berries have been renamed wellness activities. You will see wellness activities that meet your interests and needs, including over 60 free options related to physical, nutritional and mental health after you sign in to the BeWell Program. You will no longer earn Berries for these activities. You will instead earn points.


Do I still need to submit validation forms?
You will no longer need to submit validation forms. Credits for completed wellness activities will be awarded automatically upon completion or upon self-attestation.


Can I still earn credit for the things I’m doing outside of Stanford (i.e. tracking steps, running races, health classes, etc.)?
You can earn points for participating in wellness activities on your own. Look for predetermined options available through the platform to earn points for activities such as running races, donating blood and more.


Can I still earn credit for classes and workshops offered by other Stanford departments (i.e. EH&S, Continuing Studies, Retirement, etc.)? 

We will not be awarding points for classes and workshops offered by other Stanford departments. However, we value our campus partners and encourage you to connect with them directly. You can find their websites under the “resources” tab.


Can I earn credit for volunteer activities? 
Yes, various programs will be offered throughout the year focusing on community. As they become available, you may participate in these activities for program points.


Can I still earn points by attending recorded webinars?

Recorded webinars are available on the BeWell website resource page but are not available for points at this time. 


Do I get points for BeWell workshops?

BeWell workshops have been integrated into Healthy Living. Healthy Living offers free classes every quarter on a diverse range of topics. You can find free Healthy Living classes by going to the Healthy Living class search page and entering “free” in the keyword search.


Is Commitment to Family, Community or Self-care no longer an option?
The Commitment to Family, Community or Self-care Engagement option is not part of the 2022 program design. However, you will still be able to earn points for other wellness activities that focus on self-care, family and community. 


What are my Engagement options? 
The $260 BeWell Engagement incentive is no longer a structural piece of the program. Activities that were previously offered for Engagement are available for points, such as Lifestyle Coaching (formerly Multi-session Coaching), Healthy Living offerings and community service (formerly Commitment). These activities can be found under the “Activities” tab in your BeWell account. You’re encouraged to sign in to your account to see the activities and their point values. Please note that there is now a Healthy Living Engagement option that does not directly correlate to the past BeWell Engagement, but many Healthy Living offerings that were eligible for the Engagement incentive last year can be found under this new option, as well as the other Stanford Healthy Living wellness activities.


Is Advising still an option?
Advising has been renamed BeWell Check-in. It is still the same great service and staff. You can connect with a BeWell Coach to discuss your wellness during this 20-minute check-in. You and your BeWell Coach will co-create an action plan based on where you are today and your vision for your future. Your Coach will share resources and help you discover strategies that will support you in being successful with your plan.


Do I need to submit a Plan after my Advising appointment?
You will no longer need to submit a Plan after completing the BeWell Check-in. Instead, you and your BeWell Coach will co-create an action plan during your check-in based on where you are today and your vision for your future. 


Are biometrics appointments available?

Biometrics remain paused for 2022.

 

Eligibility

Who can participate?
The BeWell Program is available to all benefits-eligible Stanford University employees.


Do I have to be enrolled in health benefits from Stanford to participate in the program and receive the $560 incentive?
It is not required that you be enrolled in medical benefits through the university in order to be eligible. 


Can I still use “sick leave” hours for wellness offerings?

To encourage healthy lifestyles, Stanford allows full-time employees to use up to eight hours of their accrued sick time to participate in approved wellness activities. Part-time employees can do so on a prorated basis. Be sure to talk to your supervisor before using your “well time.” Find more information at Cardinal at Work’s well-time page.


I’m leaving Stanford, will I still be paid for my incentive?

Can my spouse participate?
Spouses are not eligible to participate in the BeWell Program. Spouses are eligible to participate in events, classes, workshops, webinars and coaching. They are welcome to register for Healthy Living classes


As a retiree, can I participate in the BeWell Program?
Similar to prior years, retirees are not eligible to participate in the BeWell Program. However, they are welcome to register for Healthy Living classes


I am a fellow, resident, postdoc or temp employee–am I eligible to participate?
Similar to prior years, BeWell is not included in the benefits package for postdocs, fellows and residents, so they are not eligible to participate in the program. However, you are welcome to register for Healthy Living classes.


I am a hospital employee, am I eligible to participate?
Hospital employees have a separate wellness program, please visit the HealthySteps to Wellness website to learn more.
